Square appointment confirmation texts: what Square sends and when you need something more

Square Appointments sends text reminders, and Square's own page says reminders are included on all plans. If that covers you, you may not need anything else, and this page is honest about where a separate tool does and does not make sense.

What Square does today

Square Appointments texts your clients without extra setup. Square’s reminders page says automated email and text reminders are included as part of all Square Appointments plans, with an unlimited number of texts each month, and that the only fee is the monthly plan price. You choose when they go out, from one hour up to three days before the appointment.

Confirmations are a step up. The same page says email and text confirmations are included in the Plus and Premium plans, and can be sent between two hours and one week before the appointment. Square’s US help article describes the setup under Confirmations and Reminders in your Dashboard, and notes that appointment notifications must be transactional. Promotional wording is blocked.

One caution: that features page is Square’s UK site, and the US help article words the plan rules differently, saying Free and Plus accounts need an advanced bookings add-on. Open your own Dashboard to see exactly what your plan has.

The gap, if you have one

For many shops there is no gap. If your clients get a reminder text, and you are happy with Square’s wording, you are covered. Square’s page does say that at this time you cannot customise the text of SMS reminders and confirmations, only emails.

The open question is replies. The Square pages I read do not say whether a client can reply to a text to confirm or cancel. The help article describes you resending a request or marking an appointment confirmed yourself. If a client texts back “running 10 late” and that matters to you, test it with your own phone number before you rely on it.

Think of it like a doorbell. A reminder rings it. A reply is someone talking back through the intercom, and you want to be sure someone is listening.

When a separate reminder tool makes sense

  • You want clients to answer in plain words, and you want every answer on your phone.
  • You want your own wording, not a fixed message.
  • You also book through Google Calendar or Calendly and want one reminder system for all of it.

If Square already does what you need, stay with Square. Paying for a second tool to do the same thing is not a good use of $39.

What NoShowText does differently

NoShowText sends reminders 24 hours and 2 hours before, and delivers every reply to your phone with the client’s name and appointment. Clients can reply C, R or X, or write in their own words. You answer by text.

It connects to Google Calendar and Calendly today. It does not connect to Square directly yet. If you sync your Square bookings to a Google Calendar, NoShowText can read that calendar, view only.

A quick way to decide

Ask yourself one question: when a client misses an appointment, was it because they were never reminded, or because they could not easily tell you they were not coming? If it was the first, Square already texts them. If it was the second, you need a place where their replies reach you. Run one week with Square alone, write down every no-show and why, and the answer will be clear without spending anything.

Set it up in 5 minutes

  1. Start the free trial and sign in with Google Calendar.
  2. Choose the calendar your Square bookings sync to.
  3. Tell NoShowText where the client’s phone number sits in the event.
  4. Paste the consent sentence we give you into your booking form.
  5. Turn off Square’s text reminder if you move to NoShowText, so clients get one text, not two.
